Coordinator – Software and Hardware Assets
Location: Onsite - 5 days at VHQ, Crawley
Hours: Full Time, 37.5 hours per week. Monday to Friday
Contract Type: Permanent
Salary: Competitive

Join Virgin Atlantic as a Software & Hardware Assets Coordinator, where you’ll play a key role in managing the lifecycle of our IT assets from procurement to disposal. This role will support the efficient, compliant, and cost-effective use of hardware and software across the organisation.
You’ll be the operational heartbeat of our asset management strategy, ensuring our tooling (including ServiceNow’s SAM and CMDB modules) is accurate and audit ready. From laptops and mobiles to licensed software and global website certificates, you’ll coordinate stock, track usage, and support financial processes, all while collaborating with internal teams and our managed service supplier.
Some of your key responsibilities as a Software & Hardware Asset Manager will be:
- Manage the full asset lifecycle from procurement to disposal – Ordering – Taking receipt and Processing Deliveries – Tracking - Deployment – and Secure Disposal
- Keeping accurate and up to date records of all company assets on the register
- Track Asset movement, usage, and allocation
- Asset recovery - Asset maintenance
- Stock Auditing
- Track software licensing and certificate renewals
- Resolving INCs and RITMs to meet SLA timescales and better customer experience
- Liaise with Suppliers to ensure good service delivery
- Liaise with in house Teams – Contracts - Finance – Operational Teams for effective Asset Management
- Detail-oriented organiser with a passion for technology and operational efficiency
- Previous experience of working with suppliers, internal teams, and finance to ensure assets are optimised and accounted for
- Ability to build collaborative relationships across tech and non-tech stakeholders
- Excellent communication skills and the ability to manage multiple priorities in a fast-paced environment.
Ideally, you will also have knowledge of tools like ServiceNow (SAM, HAM, or CMDB modules) or similar asset management platforms and been keen to learn more about IT Asset Management Lifecycle.
